1. Introduction

HANANAHSAN LLC ("Voniq," "we," "us," or "our") operates the Voniq platform at voniq.ai. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our AI-powered phone answering service (the "Service").

This policy applies to two categories of individuals:

  • Customers — home service contractors who subscribe to Voniq
  • Callers — individuals who call a Voniq-powered phone number

2. Information We Collect

2.1 Information from Customers

  • Account information: Name, email address, password, business name, trade type, business phone number, escalation phone number
  • Business details: Business hours, service area (zip codes), services offered, greeting preferences
  • Billing information: Payment card details (processed and stored by Stripe — we do not store card numbers)
  • Usage data: Dashboard interactions, feature usage, login activity

2.2 Information from Callers

When someone calls a Voniq-powered phone number, we collect:

  • Phone number of the caller (Caller ID)
  • Call recording — the full audio recording of the conversation
  • Transcript — text transcription of the call
  • AI-extracted information — caller name, address, zip code, service requested, urgency level, and sentiment (as provided by the caller during the conversation)
  • Call metadata — duration, timestamp, call outcome

2.3 Automatically Collected Information

  • Browser type, device information, IP address
  • Pages visited, features used, timestamps
  • Error logs and performance metrics

3. How We Use Information

We use collected information to:

  • Provide and operate the AI phone answering service
  • Process and transcribe calls using AI technology
  • Generate call summaries, analytics, and ROI metrics
  • Send SMS notifications (missed-call textbacks, emergency alerts)
  • Process subscription payments and manage billing
  • Provision and manage phone numbers
  • Improve the Service, fix bugs, and develop new features
  • Communicate with customers about their account
  • Comply with legal obligations

4. AI Processing and Call Recording

Voniq uses artificial intelligence to process phone calls. Specifically:

  • Voice AI: Calls are handled by an AI agent powered by Retell AI, which uses OpenAI's language models (GPT-4) to generate responses in real-time
  • Call Recording: All calls are recorded and stored as audio files. Recordings are stored securely and accessible only to the subscribing customer through their dashboard
  • Transcription: Calls are automatically transcribed from speech to text
  • Post-Call Analysis: AI analyzes each call to extract structured data including call outcome, service requested, urgency, sentiment, and caller information

Important: Call recordings and transcripts contain conversations between the AI agent and callers. The subscribing customer is the data controller for this information and is responsible for ensuring compliance with applicable call recording laws in their jurisdiction.

6. Data Storage and Security

  • Application data and call records are stored in Supabase (PostgreSQL) with row-level security
  • Call recordings are stored in Supabase Storage with private access (signed URLs for playback)
  • All data is encrypted in transit (TLS/HTTPS) and at rest
  • Access to customer data is restricted to the authenticated account holder
  • We implement industry-standard security measures to protect against unauthorized access

7. Data Retention

  • Active accounts: Data is retained for the duration of your subscription
  • Cancelled accounts: Data is retained for 30 days after cancellation to allow for reactivation or data export, then permanently deleted
  • Call recordings: Stored for the duration of your subscription. You may request deletion of specific recordings at any time
  • Billing records: Retained as required by law (typically 7 years for tax purposes)

8. Your Rights

All Customers

  • Access and download your data through the dashboard
  • Update your account information at any time
  • Delete your account and request data erasure
  • Export call recordings and transcripts

California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act:

  • Right to know what personal information is collected
  • Right to request deletion of personal information
  • Right to opt out of the sale of personal information (we do not sell personal information)
  • Right to non-discrimination for exercising your rights

9. Caller Privacy

If you are an individual who called a Voniq-powered phone number:

  • Your call was answered by an AI agent on behalf of the business you called
  • Your call was recorded and transcribed
  • Information you provided (name, address, service request) was stored and shared with the business
  • Your phone number may have received an SMS if the call was missed or disconnected

The business you called is the data controller for your call information. To request access to or deletion of your call data, please contact the business directly or email us at hanan@voniq.ai.

10. Cookies and Tracking

We use the following cookies and tracking technologies:

  • Authentication cookies — to keep you logged into your account (essential, cannot be disabled)
  • Theme preference — to remember your light/dark mode setting (stored in localStorage)
  • PostHog analytics — to understand how customers use the dashboard (can be blocked with browser extensions)
  • Vercel Analytics — anonymous page view analytics

11. Children's Privacy

The Service is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child, we will delete it promptly.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify customers of material changes via email or through the Service. The "Last updated" date at the top of this page indicates when the policy was last revised.
